LeaseRails is leasing-workflow software made by LeaseRails LLC ("we," "us"). It is licensed to property-management companies ("clients") and used by their staff. This policy explains what information LeaseRails handles and how.
Solely to operate the product for the client: responding to rental inquiries, scheduling tours, sending leasing documents and reminders, and reporting to the client's team. We do not sell personal information, and we do not use client data for advertising.
When a user chooses to connect their Google Calendar, LeaseRails requests access only to create and manage the tour events it schedules and, where the user enables it, to read free/busy times so tours are not booked over existing commitments. We do not read the contents of unrelated calendar events, and Google account data is never sold or used for advertising.
When a client connects its leasing mailbox (Gmail), LeaseRails reads the rental inquiries that arrive there and the replies from people already in the client’s leasing pipeline, files each one on that person’s record, and labels it so it is processed once. When a user connects their own Google account, LeaseRails sends the messages the user or their automations compose from that address; it does not read that user’s inbox.
LeaseRails' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
AI-assisted replies. To draft replies to rental inquiries, LeaseRails sends the text of the inquiry (and earlier messages with that person) to Anthropic’s Claude API. Anthropic processes it only to return the draft and, under its commercial terms, does not use it to train its models. LeaseRails does not use Google user data, raw or derived, to train or improve any AI or machine-learning model, and does not transfer it to any AI service that does.
You can disconnect Google at any time inside LeaseRails, or revoke access at myaccount.google.com/permissions. Upon disconnection we delete the stored authorization tokens.
Data is shared only with the service providers required to run LeaseRails (hosting, scheduling, e-signature, AI drafting (Anthropic), and the client's own property-management system), each acting under their own contractual obligations. We disclose information if required by law.
Records are retained while the client's license is active and deleted or returned at the client's direction when it ends. Data is encrypted in transit, and access is limited to authorized accounts.
